Listing & Marketing Your Rental Property

Cook Group Property Management will list and market your rental property on all top popular real estate platforms to ensure it receives the most exposure to all qualified tenants and for the highest rent in your market place. This can include frequent showing of the property to interested parties and open house events, to ensure your property is rented to the most qualified tenant among all applicants. Then after a full credit and background check has been performed and the tenants have been fully screened and ultimately cleared by the owner, we will draw up an electronic lease and close the deal and ensure you will receive a move-in inspection report.

Annual Financial Statement

All owners will receive a full comprehensive annual financial statement for their records.

    Security & Pet Deposit

    As we had mentioned before, one of the things that prompted us to start Cook Group Property Management, was by listening to owners who had many grievances about their current property managements....

    the security deposit was among their top issues. Their concern was the fact that although it is their property that was at risk of damage by the tenants, the property managers wanted to hold their deposit and be in control of whether it should be returned to the tenants or be kept by owners due to damages incurred by tenants during their tenancy. We completely understand and sympathize with this sentiment held by owners and so one thing we do differently than most other property managers is, we allow the owners to keep their tenants’ security and pet deposits. You are in complete control on whether this deposit should be returned to your tenant after the property has been vacated or if you feel a portion or all of it should be kept due to incurred damages.

    Electronic Rent Payment & Disbursement

    Once the tenants have moved in, both the owner and the tenant will have full 24/7 access to our portal. Tenants can make their rent payment electronically through the portal without any unwarranted delays....

    that sending a check by mail could cause. Each time a rent payment is received through our portal, an email notification will be sent to the owner immediately. Subsequently all rent payments will be disbursed to the owners’ bank account after all payments have been cleared and management fees have been deducted accordingly.

    Timely Communication With Our Responsive Staff

    As simple as this may sound, this is by far one of the most frustrating issues most owners and tenants are faced with and complain about in regard to their experience with their current property managers....

    these grievances range from not getting an immediate response back from their property manager like they were promised, to, the staff treating their job in managing various aspects of their duty, as if they are doing these tasks as a favor for the owners, rather than a job they are paid to perform. In fact the whole concept of Cook Group Property Management began with one of our investment real estate clients complaining about changing property managers twice in 3 years due to this very frustrating issue. At Cook Group Property Management, we ensure all inquiries are addressed within 24-48 hours without exception. In fact that is the very reason we offer all our new clients our month-to-month no obligation policy during the first 6 months to ensure they are fully satisfied or you may terminate our services if you don’t feel we are doing the job you have hired us to do.     Repair & Maintenance

    Tenants can report all needed repairs through our portal so that we can share them with the owners for immediate repair by one of our licensed expert vendors....

    Owners can either choose to have one of our vendors do the repair, or if they wish, they can use their own if they feel more comfortable doing so. If the owner decides to use one of our in-house vendors, we will get a quote to the owner for approval before the repair takes place. Then after the problem has been rectified, a bill will be submitted to the owner to be paid for that repair.

    24/7 Emergency Repair

    Although rare, this is one of the most important aspects of our work. Emergency repairs such as a broken water or gas pipes can be stressful and if not taken care of immediately....

    it can cause major damage to a property and have harmful affects to the tenants’ well-being and their belongings. Cook Group Property Management will provide all tenants with a 24/7 emergency phone number to report any and all unexpected issues that may happen during off-hours. We will then immediately dispatch the appropriate vendor to the property to rectify the emergency situation and notify the owner to ensure they are fully informed of such emergencies and take the appropriate steps to prevent any further damage to their investment property.

    Quarterly Property Inspection

    Each and every property will be inspected by our expert staff on a quarterly basis. Then all inspection reports along with photos of each inspected area of the properties are uploaded into the owners’ portal....

    for their review. This is to ensure the property is in good condition and treated well by tenants before a minor issue becomes a costly repair if left unattended. This is also to ensure tenants are treating the property in accordance with the terms of their lease. If a violation is detected, the tenants will be warned about it verbally and in writing to make sure they are in full compliance of their lease terms and conditions.

    Late Rent or Non-payment

    Most tenants pay their rents on time, but there are those who are either late in making their payment or stop paying altogether due to various reasons. This can cause financial stress on owners....

To ensure this causes as little stress on our owners as humanly possible, Cook Group Property Management will first try to contact the tenant to entice them to make full payment plus late fees in accordance with the terms of their lease, or if not, we then begin to follow the appropriate legal procedure for eviction. This begins by sending the tenant a ‘Pay or Quit’ notice. Typically at this stage most tenants will comply and pay their rents along with the late fee based on the terms of their lease, however, there are times when the tenant continues to neglect their payment, and this is when we escalate the matter through the legal process.

    If the tenant decides to ignore the ‘Pay or quit’ notice, we are then forced to escalate this matter by following through the legal process and file an eviction notice through the court system....

    to evict the delinquent tenant. The Cook Group Property Management will do all the leg-work and the necessary documents’ submission on behalf of our owners. Owners sole responsibility is to pay the costs/fees associated with this legal process and documentations.
